The Overwhelmed Overachiever
Take Miguel. He’s a third-year PhD student at a prestigious European research university, working in a field he’s genuinely passionate about. His undergrad performance earned him one of the most competitive PhD positions in the department, and he knows it. This is his shot to make his mark in science.
With nine months left on his funding, Miguel tells himself the goal is simple: submit the dissertation by the end of the year. But the reality is more complicated.
He still has two experiments to rerun. One of them relies on a temperamental assay that’s been yielding inconsistent results. His supervisor expects him to submit two papers before signing off on the thesis. He hasn’t even drafted an outline, let alone reviewed the formatting requirements or considered submission protocols. He has an impending sense of doom, feeling that he’s behind, too far behind, yet he’s unsure where the starting line is or where he stands right now.
Beyond the thesis, Miguel has weekly teaching duties for the upcoming semester. He’s also responsible for maintaining a core piece of lab equipment, which has been glitching more often lately. Add in weekly lab meetings, journal club presentations, and training courses to build his CV and earn credits towards his PhD, and you start to see the whole picture.
And looming just beyond the chaos is his post-PhD future. He hasn’t touched his CV in over a year, much less started applying for jobs. Yet he knows that if he wants to secure a postdoctoral position or transition into industry, he’ll need a strong track record and a coherent narrative. Right now, he has neither.
Every Sunday night, Miguel writes out a massive to-do list. It’s more of a shopping list than a strategy: write, read, email, prep, submit, repeat. By Monday evening, he already senses doom creeping in. By Wednesday, he’s exhausted and resigned to sacrificing the weekend just to claw back a few hours of perceived progress.
What’s going wrong? A lot. But three things stand out:
First, the goal is fuzzy. “Submit the dissertation” may seem straightforward, but it conceals a complex web of tasks, dependencies, and milestones. Miguel hasn’t identified what needs to be done or in what order for that goal to materialise.
Second, there’s no breakdown. No timeline. No sense of what needs to happen this month, this week, or today to stay on track. If Miguel started writing tomorrow, he wouldn’t know whether he was ahead or behind, because there’s no map.
And third, and this is critical, Miguel treats this as a single goal. But it’s not. He’s juggling multiple major projects: experimental work, paper writing, thesis assembly, teaching, job searching, and more. Without realising it, he’s trying to plan one big, impossible goal rather than managing a portfolio of parallel projects, each with its own timeline, scope, and requirements. This is where the glass jar theory comes in: if you fill the jar with big items first, there’s no space for the rest. If you try to do it all at once, something always falls off the edge.
Miguel’s experience isn’t unusual. It’s just invisible. And it’s exactly the kind of challenge multiscale planning is designed to address.
The Problem with Unscalable Planning
This is the trap Miguel has fallen into. And it’s the same one most researchers step into without even knowing it: they build big, goal-driven plans with no scaffolding. Lofty annual targets like “submit my thesis,” “publish two papers,” or “get a postdoc” float in their minds, disconnected from the gritty day-to-day decisions that determine whether those goals are met.
Let’s be clear: setting ambitious goals isn’t the issue. Researchers are trained to think big. The problem lies in the absence of a system to support those ambitions. Without structure, their planning becomes reactive rather than strategic. A list of good intentions that collapses under the weight of the week.
Too often, plans are constructed in silos. One document for thesis timelines. Another for paper drafts. A scribbled note about applying to conferences. Each part is planned in isolation as if it exists independently from the others. However, research doesn’t work that way in real life. Everything converges, usually all at once.
So when paper revisions arrive during peak teaching weeks or a grant deadline overlaps with a job interview, researchers find themselves drowning. Overcommitment isn’t a character flaw. It’s a systems issue.
Miguel’s to-do list? It’s a symptom. A coping mechanism. And one that fails him every single week. Because it lacks sequencing, it lacks rhythm. It cannot show him how today’s actions line up with his long-term outcomes.
Unscalable planning doesn’t just make researchers inefficient. It chips away at their confidence. It makes them anxious. Drained. Eventually, burned out. They start to believe the problem is them when, in reality, they’ve just never been taught how to plan in a way that honours the complexity of their work and their lives.

What is Multiscale Planning for Researchers?
Multiscale planning is not a new concept, but for many researchers, it’s entirely unfamiliar territory. If they have heard of it, they struggle to apply it to the unpredictable and diverse world of academic research. When researchers do plan, they tend to default to one of two extremes: big, lofty goals with no breakdown or reactive daily to-do lists that lack coherence. Multiscale planning connects the dots between ambition and execution.
At its core, multiscale planning is about structuring your goals and actions across four levels of time: the quarterly (or 12 weeks if not aligned with the calendar year) scale, the weekly scale, and the daily scale. And here’s the crucial part: each scale informs the next. They need to align to be effective.
Think of it like aligning dominoes. If you want a smooth cascade, each domino, each level of planning, has to be thoughtfully positioned. The smallest daily actions need to support your weekly focus, which in turn should be driven by your quarterly milestones, all anchored in your annual vision.
Productivity expert and Computer Science professor at Georgetown University, Cal Newport, best known for his books on Deep Work and Slow Productivity, describes multiscale planning as the backbone of intentional work. Instead of flitting from task to task (the “productivity whirlpool”), reacting to whatever is loudest or most urgent, multiscale planning ensures that what you’re doing today is a direct outgrowth of what you’ve decided matters this quarter. It’s not about micro-planning your time but about managing your goals across different time horizons and levels of resolution. With multiscale planning, you don’t just know what you’re doing today. You know why you’re doing it.
Let’s break it down:
- Annual Plan: Your high-level vision for the next 12 months. What do you want to accomplish this year? Which outcomes will move the needle in your research, publications, or career path?
- Quarterly Plan: This is your compass. It defines your major priorities and desired outcomes for the next 12 weeks. Think of it as the big-picture blueprint.
- Weekly Plan: Built at the start of each week, this plan connects your quarterly goals with the realities of your upcoming schedule. It answers, “What progress can I realistically make this week?”
- Daily Plan: Each morning (or the night before), you create a time-blocked schedule for your day. It’s your most granular view, shaped directly by your weekly plan.
Here’s the magic: instead of constantly renegotiating what’s important, you move through your day with confidence. Your tasks aren’t random. They’re dominoes deliberately placed to trigger momentum.
And when life happens, as it always does, you don’t abandon the system. You adapt. Because multiscale planning isn’t about rigidity; it’s about coherence.
From Chaos to Clarity: Miguel’s Turnaround
