Every researcher knows the sentence, because every researcher has said it: I will rest after the thesis. Then after the postdoc is off the ground. Then once the funding is secured, then after the next paper. The finish line moves each time you approach it, and rest keeps getting postponed to a date that structurally never arrives. Meanwhile the schedule quietly assumes what no sport scientist would let past the door: permanent peak season, no off-season, no taper, recovery treated as a reward for the finished, and being visibly always-on read as commitment.

When rest is not restful

There is a deeper layer, and the workshop refuses to skip it. For many researchers, relentless performance is not a schedule problem; it is how they have learned to feel safe, valuable and accepted. Productivity has attached itself to identity: it is how approval is earned, control is kept, difficult feelings are avoided, and the right to be in the room is proven, again and again. Tell someone built this way to rest, and they do not experience recovery. They experience guilt, agitation, the sense of not being needed, the itch that they should be doing something useful.

For those researchers the problem is not a missing calendar entry. It is a nervous system that no longer knows how to come out of mobilisation. Scheduling advice cannot reach that; understanding where the pattern comes from, and training the system to actually down-regulate, can. This is why the workshop treats rest as a capacity to be rebuilt, not merely a slot to be planned.

What athletes know that academics were never taught

In 2001, performance psychologists Jim Loehr and Tony Schwartz took the training logic of elite sport into the executive world with the corporate athlete: sustained high performance is built like a pyramid, and thinking, the layer knowledge workers obsess over, sits at the top of it, not the bottom [1]. The Academic Athlete applies that model where it may fit best of all, since a research career is longer than any athletic one and its peak demands are just as real.

Physical foundation: sleep, movement, nutrition, recovery: the base everything above stands on.

The pyramid reads bottom-up, which is the reverse, layer by layer, of how academia invests. Research careers select and train relentlessly for the top two layers while treating the base as private business, then act surprised when clarity and composure collapse in the months the base was skipped. An athlete’s coach would call this what it is: a training-plan error, and a fixable one.

And one caution about the top of the pyramid, because researchers care about their work to an unusual degree. Purpose is what makes the load worth carrying, and purpose without boundaries is also the most respectable disguise self-abandonment has ever worn. The science matters, the students matter, the outcome matters, and that is what makes disappearing into the work so easy to file under dedication. The model treats purpose as a layer to be trained, not a licence.

What counts as recovery, and what only looks like it

Recovery is not simply not working. A researcher can stop working and spend the whole evening scrolling, worrying, drinking, punishing themselves for not working, or exercising themselves into the ground, and none of it restores anything. That is distraction, numbing or exhausted collapse wearing recovery’s clothes.

Recovery means restoring capacity: physiological, emotional and cognitive. The test is never the activity’s name; it is the effect. Does it help the nervous system settle? Does it support sleep? Does it create emotional space? Does it reduce cognitive load? Are you more resourced afterwards, or merely elsewhere for an hour? The workshop trains researchers to run that test on their own week, and the results are reliably surprising in both directions.

The right format, stated plainly

The model itself is deliberately compact: it lands in a keynote, a one-day crash course or a two-day workshop, and researchers apply it the same week. The deeper behaviours it prescribes each have their own dedicated training where they belong: building the base is what Resilience Training does over nine weeks, and training the mental-clarity layer is what our Focus & Attention training does with its research-backed daily practice.

For institutions that want evidence rather than a good day out, the workshop also runs as a tracked arc: awareness, experience, application, integration, evaluation. An arc, not an event.

The format at a glance, every stage, and how much it asks of you
This is the format as we propose it. Session lengths, spacing and workshop days flex to your institution's calendar; the shape, a concentrated intensive with spaced reinforcement around it, is the part that carries the evidence, so that is the part we hold. Circle size shows time on task: the small hollow circles are light-touch, self-paced periods, the large circle is the intensive itself, and the mid-sized circle is the follow-up session.

3 · Implementation weeks · with guided practices. Short, guided practice sessions drawn from the Resilience Training toolkit: breathwork, guided meditation, sleep and wind-down support. Academics are unusually good at understanding recovery conceptually while having no idea what it feels like in the body; a ten-minute state check before and after one breathwork session teaches the difference between activation and regulation faster than any slide.
4 · Follow-up · the evaluation. A follow-up session that reads the tracking straight: what changed, what did not, what people thought was recovery but was not, and where the plan collided with real working conditions.

For coordinators, and for graduate school leadership

This is the most institution-facing workshop we run, because half its message is addressed to the environment rather than the individual. Researchers cannot periodise a season their institution refuses to acknowledge has seasons. The workshop gives your researchers the model and the personal tools; it also hands leadership a vocabulary for something harder, building a culture where recovery reads as professionalism rather than absence of commitment, which is where retention is actually won.

And one thing this workshop is not: a programme for helping researchers tolerate poor conditions more efficiently. Sustainable performance requires personal skills and it requires realistic workloads, psychological safety and decent leadership; a breathing exercise does not repair an impossible environment, and we will say so in the room. The workshop trains the individual half and hands leadership the environmental half, because both halves are load-bearing.

It runs as a keynote, a one-day crash course, a two-day workshop or the tracked arc described above, face-to-face or hybrid, in English, for doctoral candidates and postdocs at any stage, and maps onto the wellbeing and mental health themes strengthened in the Vitae Researcher Development Framework 2025. Dr Nadine Sinclair is a Managing Director of Mind Matters, author of the Academic Athlete model for research careers, and co-creator of the Personal Resilience Indicator. A scientist by training with doctoral research at the Max Planck Institute for Biophysical Chemistry. She has 30,000+ hours of hands-on project management experience, built across 18 years as a strategy consultant, at McKinsey and as an independent consultant. She has trained over 1,500 researchers across Europe in sustainable peak performance.

Paul Sinclair is a Managing Director of Mind Matters and the only trainer in this catalogue who has actually lived the model: a former competitive athlete and Royal Navy engineer, trained under the very load-and-recovery discipline this workshop teaches, who then spent a career in high-pressure environments learning what happens when it is abandoned.
